AI Receptionist

Your phone answered every time, in your business’s tone. The routine questions handled, the real ones passed to your team, and a written summary of every call.

What is an AI receptionist?

An AI receptionist answers your business phone, talks with the caller in a natural voice, and handles the questions it has been set up to handle. It takes messages, books appointments and transfers calls that need a person. It works only from information you supply and rules you approve, and it hands over anything it cannot answer.

The problem

A missed call is usually a lost job.

A customer rings. You are under a house, on a ladder, driving between jobs, with another client, or it is half past six. Nobody picks up.

Most people do not leave a message. They ring the next business on the list. You never find out it happened, so it never shows up as a problem to fix. That is what makes missed calls expensive: they are invisible.

How it works

Three steps, and you control all of them.

1. The call comes in

To your existing number or a new one. You choose whether it rings your mobile first and the AI only picks up if nobody does, or whether it answers straight away.

2. It handles what it can

Answers the common questions, captures the caller’s details and what they want, books the job if that is set up, and follows the rules you gave it.

3. You get the call, written down

Who rang, what they wanted, what was agreed and what happens next, sent to whoever needs it. Urgent calls are escalated the way you told it to.

Capability

What your AI receptionist can do.

Answer common questions

Hours, location, services, what you do and do not take on, where a job is up to.

Capture new enquiries

Name, number, suburb, what they need and how urgent it is.

Qualify leads

Ask the questions you would ask, so your team gets a useful lead rather than a name.

Transfer calls

Put a caller through to the right person or mobile when they should be talking to a human.

Take messages

Clean, complete and written up, not a voicemail nobody plays back.

Book appointments

Into the slots you make available, for the job types you allow.

Identify urgent calls

Recognise the words and situations you flag as urgent and act on them immediately.

Follow your rules

Business-specific instructions: who to put through, what never to quote, what to always ask.

Send summaries

To the person who needs it, by email or message, the moment the call ends.

Limits

What it will not do.

Worth reading. This is the part most people want to know about and few will tell you.

Invent information

If it does not know, it says so and hands over. It is set up not to fill gaps with a guess.

Act outside your rules

It only does what you have approved. It cannot decide to offer a discount, commit to a date or agree to something you have not authorised.

Give professional advice

Not unless you have explicitly configured it to and it is appropriate. An accountant’s receptionist does not give tax advice; it takes the enquiry and books the accountant.

Pretend to be certain

It is built to say when it is unsure rather than sound confident and be wrong.

Replace judgement

The calls that need a person still go to a person. That is the point of the handover rules.

Reach emergency services

A hello247 number cannot be used to call 000 and is not a replacement for a standard telephone service. Anyone who needs police, fire or ambulance must dial 000 from a mobile or fixed line.

Setup

How hello247 knows about your business.

Nothing is invented. Everything it says comes from something you gave us and approved.

What we start from

Your website, opening hours, services, service areas, pricing if you want it quoted, your FAQs and your policies. Whatever you already have written down.

What we add with you

Staff instructions, escalation rules, what counts as urgent, appointment rules, and the things it must never say. This is the part that makes it sound like your business rather than a script.

Then you check it. You listen to it answer, you tell us what is wrong, and we change it. It does not go on your live number until you have signed off. After that it keeps being tuned. Anything it could not answer gets reported so the gap can be closed.

Control

The handover is yours to set.

Ring my mobile first

It only answers if you do not. The setup most businesses choose to start with.

After hours only

Your team keeps the phone during the day; the AI covers evenings, weekends and public holidays.

Full-time front desk

Every call answered first by the AI, with transfers to your people as needed.

Emergency rules

You define what urgent means for your business. A burst pipe, a locked-out tenant, a patient in pain. Those calls get escalated straight away, however you tell it to. This means urgent to your business — it is not an emergency service, and it cannot call 000.

Australian numbers

Keep your number, or take a new one.

The phone line underneath it all, on Australian carrier-grade infrastructure.

Bring your existing number

In most cases it can be ported across, so nothing changes for your clients.

Or take a new one

A local geographic number, or a 1300 if you want a national presence. A 1300 is optional, not required.

One number, many destinations

Route to the AI, to your team, or split by time of day and by caller.

Clean call records

Every call logged and searchable, so nothing is lost and everything is accountable.

Trust

Security, privacy and where your data sits.

hello247 is Australian-owned and operated, your number is Australian, and your data is stored in Australia. Call recordings, transcripts and how long anything is kept are covered on the security and data residency page, and how we handle personal information is in the privacy policy.

The platform runs on Australian infrastructure in Sydney. Every business on it is a separate tenant: an independent security audit of the platform in August 2026 read every endpoint and confirmed no path by which one business could reach another’s calls, leads or settings. Sign-in uses a dedicated identity provider with multi-factor authentication rather than a password on our own database.

Traffic is encrypted in transit. Retention periods for call audio and transcripts, deletion on request, and the full list of subprocessors are being documented and will be published on the security page rather than summarised here. The full detail on retention, encryption at rest, deletion on request and our subprocessors is being documented now and will be published on the security page. If you need it before then, ask us and we will answer in writing.

Hear it

Pick the voice your business answers in.

Eight Australian voices, each introducing itself and answering a call the way yours would. These are the actual voices, not an impression of them. Play a few and tell us which one sounds like your business.

Want a real conversation instead?

Ring 1300 678 135 and talk to it yourself. That is a live call, not a recording, and you are the caller. Ask it something awkward and see what it does.

Proof

Case study.

We have only just started signing clients, so there is nothing here yet. When there is, it will be a named business with real numbers and their permission, not a stock photo and a made-up quote.

Questions

About the AI Receptionist

What is an AI receptionist?

It is software that answers your business phone, speaks with the caller, handles the questions it has been set up to handle, and passes anything else to a person. It works from information you supply and rules you approve. It does not replace your team; it covers the calls your team cannot get to.

Can it answer my existing number?

In most cases yes. Your existing number can be ported across, or calls to it forwarded, so nothing changes for your clients.

Can it transfer a call to a real person?

Yes. You decide when. It can ring your mobile first and only answer if nobody picks up, transfer live during business hours, or take a message after hours.

Can it book appointments?

Yes, where your calendar allows it. You set what can be booked, how long it takes and which gaps are available.

Will callers know it is AI?

That is your call, and we will give you our view. Being straightforward about it tends to go down better than being caught out. We can have it say so on answer.

What happens when it does not know the answer?

It says it does not know and takes a message or transfers. It is set up not to guess. Anything it could not answer is reported back so the gap can be filled.

Does it work after hours?

That is usually where it earns its keep. Evenings, weekends and public holidays are when most small businesses miss calls.

How long does setup take?

About a day. We build it, you listen to it, and it does not go on your live number until you are happy.

How much does it cost?

$399 a month, including GST, plus a one-off $99 setup fee. That covers the AI receptionist and your number, the website assistant, and the website and SEO checks. Month to month, no lock-in contract, and you can stop from your own dashboard at any time.
