AI reception for plumbing businesses.

You cannot answer the phone with your hands under a sink, and the person with a burst pipe will not leave a message. They ring the next plumber, usually within about ninety seconds.

The shape of it

Half your calls are an emergency and half are a quote.

The two need completely different handling. The emergency needs an address, whether the water is off, and someone moving. The quote needs enough detail that you are not driving across town to look at a tap. Sending both to the same voicemail box means the emergency goes to a competitor and the quote never calls back.

Callers

Who is actually ringing.

A burst pipe or no water

Address first, then whether the mains is off and whether anyone can turn it off. Escalated immediately on your rules, however you have set them.

No hot water

Urgent to the caller, usually not an emergency to you. Captures the unit type if they know it, the age, and whether it is gas or electric, so you arrive with the right part.

A blocked drain

Captures whether it is one fixture or the whole property, and whether it is overflowing — which is the difference between today and Thursday.

A landlord, agent or tenant

Works out which of the three is calling, and captures who authorises the work. That is the detail that causes the argument later if nobody wrote it down.

Escalation

Urgent, and the one thing that is not yours.

Burst mains, sewage inside a property, no water to an occupied house and a hot water unit leaking into a ceiling are the usual escalate-now list, and you set your own. Gas is the exception. If a caller reports a gas smell, the answer is not a plumber — it is to leave the property and ring the gas emergency line for their network. We configure that response explicitly so it is never left to the moment.

Limits

What it will never do here.

The general limits apply everywhere. These are the ones specific to your work.

Diagnose over the phone

It does not guess what is wrong from a description. It captures what they said and gets you there.

Quote a fixed price sight unseen

It gives your published call-out fee if you have one, and nothing else. A number promised on the phone is a number you are arguing about on the driveway.

Promise an arrival time

It gives the window you have authorised, or it takes the job and tells them you will confirm.

Talk anyone through a repair

Including turning off a gas appliance. The instruction is to get the right people there.

After the call

What lands in your inbox.

  • The property address, confirmed back to the caller
  • Whether it is an emergency by your definition
  • Access details — who is home, where the meter is, dogs on site
  • Owner, tenant or agent, and who authorises the work
  • The full transcript, so the job details are not second-hand

Sent the moment the call ends, to whoever should get it. If it could not answer something, that is reported too, so the gap gets closed.

Questions

hello247 for plumbers

Will it wake me up for a blocked toilet?

Only if you tell it to. You define what urgent means, and you can have different rules for after hours, weekends and public holidays.

Can it book jobs straight into my diary?

It can capture everything a booking needs and, where we have connected your calendar, put it in. Most plumbers start with capture-and-send and add booking once they trust it.

What happens with a gas smell?

It does not treat that as a plumbing job. The caller is told to leave the property and ring the gas emergency line for their network, and you get the message immediately either way.
